Up and running with SarupDee AI in 5 minutes

Record a meeting and get a report · teach a class and get study sheets and homework · a customer messages you and you get a quotation, a tax invoice and a monthly pack for your accountant — all in one account. Works on the web at sarupdee.com, in the TripDeDee app (menu: SarupDee AI) and on LINE @sarupdeeai.

Screenshots are from the real product; figures in them are sample data. Stuck anywhere? Tap the chat button in the bottom-right corner of any page.

Your first 5 minutes

No card, no setup. Follow these steps and you will have your first report right away.

  1. Open sarupdee.com or the TripDeDee app and tap SarupDee AI · or add LINE @sarupdeeai as a friend and you get an account instantly
  2. Sign in with LINE or Google
  3. Answer "What are you using SarupDee for?" — meetings / tutoring / selling / accounting — we open the part you use first and tuck the rest behind the ☰ menu · change your mind any time from the Home button on the bottom bar
  4. Tap the microphone and record anything for a minute, tap stop, wait a moment — your first report is ready
💡 Pick the interface language (ไทย / EN / 中文) at the top right. Reports come out in the same language as the interface.

Switching areas · company vs personal

SarupDee has three areas. Switch from the bottom bar on your phone, or the "Switch to…" button at the top left on desktop.

AreaWhat it is for
🎙️ VoiceRecord meetings and lessons, import audio files, the tutor classroom
✉️ EmailToday's overview, quotations, invoices, receipts, expenses, tax, the accountant pack
💬 LINECustomers who message your shop's LINE Official Account

If you belong to a company, the ☰ menu has a switch between 🏢 Company and 👤 Your own business. Company work uses the company's letterhead, numbering and plan, and teammates see it according to their role. Personal work is yours alone; the company cannot see it.

Record a meeting or a lecture

You get: a report where every point links to the sentence that was actually said. Tap to listen back to any point — nothing is guessed.

The recording screen on desktop
The recording screen on desktop
  1. Tap the microphone and choose Meeting or Lecture · a meeting gives you minutes, a lecture gives you study sheets and practice questions · you can change this until you start recording
  2. Say which language is spoken (Thai · Thai with English · English · Chinese) and which folder to file it in (optional)
  3. Online meeting? Open this page on a computer in Chrome or Edge, choose "Online meeting", pick the Google Meet / Zoom / Teams tab and tick "Share tab audio" — you capture everyone in the room including yourself, with no bot joining the call
  4. While recording you can pin important moments · the phone screen can be off · if the internet drops, recording continues; audio is kept on the device and uploaded when you are back online
  5. Tap stop and carry on with your day. We notify you when the report is ready
💡 Using the installed Zoom or Teams app? Share "Entire screen" with system audio instead of a tab.
⚠️ Tell participants every time that you are recording for the report. Other people’s voices are personal data.

Already have an audio file

  1. Tap Import audio (phone: the + button next to the record box) and pick an audio or MP4 video file
  2. Choose the mode and language as for a live recording — you get exactly the same report; minutes are counted from the file length

Read the report and check it against the audio

A lecture recording: pick a summary level; every point has a ▶ button to play that moment
A lecture recording: pick a summary level; every point has a ▶ button to play that moment
  1. Report tab: summary, key points, decisions, action items · unsure about a point? Tap ▶ time to hear that moment, or "Show what was actually said"
  2. Want a different angle? Change the level: meetings = general · detailed · for managers · for executives / lectures = notebook · tutor explains more · exam practice · detailed · a level that does not exist yet is generated on request in about a minute
  3. Need another language? Tap + next to the report language (English, Simplified Chinese, Traditional Chinese) — no need to record again
  4. Transcript tab: every word with timestamps and speaker numbers; you can name the speakers · the Translation tab appears when the audio is in another language
  5. Ask the audio panel on the right: ask anything about what was said; answers come with the time it was said. If it is not in the audio we say so plainly
  6. Found a point that does not match the audio? Tap Doesn’t match the audio? under it — this helps the system improve
💡 Buttons in the header: rename · move to a folder · delete (deleting removes the audio and text immediately).

Export to PDF / Word

  1. In the report, tap Export PDF / Word
  2. Pick a template: meeting → formal Thai minutes / business summary / full transcript · lecture → study sheet / exam / tutor / transcript
  3. Fill in the meeting number, venue and attendees — fields the audio did not mention are left blank for you; we never guess them · logo and organisation name are set once under Company details
  4. Choose PDF or Word (editable) and share

Organise by subject or team · search

  1. Tap New folder and choose Subject (for lessons; can be opened as a classroom) or Team (a series of meetings)
  2. Inside a folder tap Summarise the whole folder for a combined sheet across all sessions, a combined exam, flashcards and a study plan
  3. Search all recordings: type a phrase you remember, such as "Q4 budget", and see instantly which recording and which minute it was said in — tap to listen
  4. All history lists every recording by date

Open a classroom and invite students

You get: one place for every lesson, study sheets and homework shared with your students, and a clear view of who did the work and which question they struggled with · students join for free and never record anything.

The teacher’s classroom page
The teacher’s classroom page
  1. Tap Teacher · Classroom (phone: the "Classroom" card on the home screen), choose a subject folder and open the room
  2. You get a 6-character room code and a link · tap Send link on LINE to your student group, or Copy code and write it on the board
  3. When you teach, record the lesson in this folder as usual in Lecture mode (phone nearby, or capture the tab if teaching online)
💡 Link leaked outside the group? Tap "Change room code" — the old link stops working immediately and current students stay. At the end of term tap "Close classroom"; lessons and scores are kept.

Share study sheets and homework

The share-with-students sheet
The share-with-students sheet
  1. When a lesson’s summary is ready, tap Share on that lesson (in the app it is the Students button on the detail page)
  2. No exam yet? Tap Generate practice exam now and wait about a minute · questions come from what you actually said in that lesson, so a short lesson naturally gives fewer questions
  3. Tick what to give: study sheet · homework (choose number of questions and a due date) · one written question you type yourself · a note to students
  4. Tap Send to room — every student gets a notification immediately and can tap straight into the homework · we also open your phone’s share sheet so you can drop the link in the LINE group

What students can do

  1. Tap the teacher’s link → install the free TripDeDee app → open SarupDee AI → join automatically · or tap Join with code and type the 6 characters · a parent can join on behalf of a young child
  2. They see only what the teacher shared: read the sheet, do the homework (one attempt, answers hidden until submitted), submit the written answer as text or a photo of paper
  3. After submitting they see the score, the answers, explanations and the teacher’s actual sentence · a reminder goes out close to the due date
💡 Students never see the audio file, the full transcript or the teacher’s other work — and the teacher never sees anything else in a student’s account.

See results and grade

The homework results dialog
The homework results dialog
  1. Tap Review on a lesson to see how many submitted, the average score and the most-missed question with the option most students picked — so you know exactly what to revisit next class
  2. Written answers: read and tap Grade, enter a score and a comment; the student sees it immediately
  3. Someone has not submitted? Tap Remind those who haven’t — one tap reaches all of them

Today’s overview

You get: one page that tells you who to reply to today, who owes you money, and how much you sold this month.

Today’s overview on desktop
Today’s overview on desktop
  1. The four cards at the top are this month’s numbers: sales · money not yet received · tax and withholding certificates pending · deals won — tap any card to open that list (how each is calculated is under How the numbers are calculated)
  2. Do today puts the urgent items on top: LINE customers nobody has picked up · emails to answer · quotations left in draft · overdue invoices · expenses without a receipt photo — tap the button at the end of the row to act
  3. The Ask box: type e.g. "which emails need a reply today" · ☰ menu → Search everything: one customer name finds their documents, emails, chats and recordings

A customer messages you on LINE

You get: customers keep messaging your shop’s LINE Official Account as before, but you see at once what they want and can reply with a quotation inside the chat in a minute · we never reply on your behalf; every message goes out only when you tap send.

Setting up your shop’s LINE OA

Customers who have messaged
Customers who have messaged
  1. First time only: tap the gear Set up your shop’s LINE OA and follow the 3 steps on screen (paste the token and secret from LINE, then put our webhook address into LINE) — your existing OA keeps working, customers notice nothing, and you can still reply from the LINE OA app
  2. A customer messages → you see a summary of what they want · if they ask for a price, send the request form so they fill in items, billing address and delivery date themselves
  3. Tap Take this so your team knows you own this customer (teams can set automatic round-robin assignment)
  4. Tap Create quotation — the items the customer typed are pulled in; add prices and tap Send to customer’s LINE — they get a card with a link to open the quotation, and you see whether they opened it · resend any time if they cannot find it
▶ 1-minute clip: get your Channel ID, Channel secret and Channel access token from LINE (Thai captions)
💡 If nobody takes a conversation within the time you set, the owner is alerted on LINE or in the app, so no customer slips through.

Several branches: route LINE chats by branch

What you get: customers of every branch write to one LINE OA, but each chat goes to the admin of the branch the customer picked. Each admin sees and is alerted about their own branch's customers; you see every branch. Made for shops with several branches and admins — shops that don't need it leave it off.

  1. Go to Team & company → LINE OA → the Who gets new chats box and choose By branch.
  2. Press + Add branch, type the branch name customers use, and tick the admins who look after it (several is fine — they take turns). Press Save branches.
  3. Each branch gets its own QR code and link. Print the QR for the shop front, flyers or receipts, or put the link on the branch's page.

💡 Hiding other branches applies inside SarupDee. In the LINE OA Manager app every OA admin still sees every chat (LINE's rule) and can keep replying there for free. Up to 13 branches (LINE allows 13 tap buttons in a chat).

Mailboxes and how forwarding works
Mailboxes and how forwarding works
  1. Menu Mailboxes → create a box; you get an address ending in @in.sarupdee.com
  2. Set Gmail or Outlook to auto-forward here (the screen shows the steps and the confirmation code), or forward individual emails you want read
  3. Every incoming email is summarised: what it is about, what to do, by when — including PDF, Excel, Word and image attachments (plan dependent) · a price request becomes a draft quotation immediately
  4. Every morning LINE @sarupdeeai tells you what came in overnight, who is waiting for a reply and what is scheduled · change the time or turn it off from the settings card in LINE

Create a quotation

You get: a quotation that looks like it came from accounting software, with VAT done correctly, the amount written out in words, and a link that tells you when the customer opened it.

The quotation list
The quotation list
A quotation
A quotation
  1. Tap + New quotation (or start from the customer’s LINE chat or email) · type the customer’s name; if you have quoted them before, their details fill in
  2. Add items, quantity, unit and price — type a product name and the price you last quoted appears from the price book · add discount and shipping · tick Charge VAT 7% and say whether the prices you typed include VAT or exclude VAT; the system does the rest
  3. Terms: how many days the price is valid · payment terms (e.g. "Net 30" — used to set the invoice due date automatically) · delivery date · if you skip a field procurement teams usually ask about, we remind you but never force it
  4. Tap Preview and choose the Thai form or the plain layout, in Thai or English
  5. Tap Send: a LINE customer → a card in their chat · anyone else → a link via LINE or email from your device’s share sheet · PDF and Word download are always available · resend as many times as you like
  6. When the customer answers, tap Won or Lost with a reason — next month you will know whether you lose on price or on speed · after Won, tap Invoice to continue without retyping
💡 A sent quotation cannot be edited, so it always matches what the customer received. To change a price, create a new one and it gets a new number. Sent to the wrong person? Tap "Revoke link" and the old link stops opening immediately.
💡 Have a sales team? Set a discount threshold above which a manager must approve on LINE before it reaches the customer (see Working as a team).

Invoice, receive payment, issue a tax invoice

You get: the whole document chain from one source; nothing retyped, numbers run automatically, receivables tracked for you.

Expenses for the month
Expenses for the month
Recording one expense
Recording one expense
  1. Tap + and photograph the receipt or attach a PDF first (your accountant needs to see the actual document)
  2. Enter the vendor · document type (full tax invoice · abbreviated tax invoice · receipt · cash bill) · number · date · category · amount · tick VAT if the bill shows it
  3. The system tells you immediately whether the input VAT is claimable or not claimable (conditions under Input VAT) — not claimable is still a normal business expense
  4. If you withheld tax from the vendor, enter the income type and rate; the amount is calculated and a withholding certificate is queued for issue
💡 You can save an incomplete entry; it waits in "Do today" until it is complete.

Withholding tax (50 Tawi)

Withholding certificates awaited from customers
Withholding certificates awaited from customers
  • Certificates you issue — for every expense where you withheld tax, tap Issue certificate; the 50 Tawi form is filled in completely (income type, form line, amount, tax) with a running number, ready to send as PDF to the vendor · the system also tells you whether it belongs on PND.3 or PND.53
  • Certificates you are owed — receipts where the customer withheld tax from you: you need their 50 Tawi to claim it back at year end · when it arrives tick Received · those still missing stay on Today’s overview until complete

Send the month to your accountant

You get: one tap at month end produces a complete pack your accountant can file from — no more stuffing receipts into an envelope.

  1. Menu Monthly pack · for accountant, choose the month · the system first checks what is missing (receipts without a photo, incomplete expenses, certificates not yet issued) — fix them straight from the list
  2. Tap Download pack for a single file containing: output VAT report · input VAT report · all expenses · certificates issued and awaited · outstanding receivables · a CSV for accounting software · and every receipt image, numbered to match the reports
  3. Send it to your accountant on LINE or email · or invite them into your company in the Accountant role so they download it themselves each month (they see accounting only, never customer chats)

Your team on the shop LINE

What you get: each teammate gets the morning briefing, customer cards, alerts and a SarupDee menu for their role, right inside your shop's LINE OA chat — no other account to add. Customers never see this menu. People who only use the SarupDee app can skip this.

  1. Open Shop LINE settings. The Let your team use the shop LINE card shows a code for each role, such as SALES-1234. Press Copy invite and send it in your team's LINE group.
  2. Each teammate opens your shop's LINE OA chat, sends the code and taps their own name.
  3. You get an approval alert. Check the LINE photo and name match the person chosen, then press Approve. Their role menu appears at once.
💡 A wrong name is harmless: nothing is linked until you approve. Press Not them and they can send the code again. If a code reaches someone outside, press New code — the old one stops working and linked people stay linked. As the owner, use Link my LINE: one tap, no approval needed.

Sales performance per person

What you get: one table showing how much each person quoted, their win rate, their actual sales, and how close they are to this month's target.

  1. Go to Team & company → Overview and pick 7 / 30 / 90 days.
  2. The By person table shows quotations sent, value quoted, win rate, actual sales (issued tax invoices, invoices and receipts, before VAT), collected, and the average value per quotation.
  3. Press Set target on a person's row and enter a monthly amount. The bar compares it with this month's actual sales.
💡 Sales count for whoever made the quotation, even when accounting issues the tax invoice. Jobs without a quotation count for whoever issued the first document. Shops with branches also get a By branch table.

Plans and payment

  • All documents and accounting — invoices, receipts, tax invoices, withholding certificates, expenses, the monthly pack — are included in every plan with no quota
  • Pay by PromptPay QR or card; no auto-renewal · companies can request a quotation and pay by transfer in the company’s name · current prices are on the plans page

How the numbers are calculated: VAT 7%

Every amount is calculated in satang and only then shown in baht, so rounding never drifts. Every figure is computed by the system, never by the AI.

1) Line totals
Line amount = quantity × unit price (rounded to satang)
Subtotal = sum of all lines
Before tax = subtotal − discount + shipping
2) Prices you typed "exclude VAT"
VAT       = before tax × 7%
Total = before tax + VAT
Example goods 4,720 + shipping 720 = 5,440 → VAT 380.80 → customer pays 5,820.80
3) Prices you typed "include VAT"
Total = the amount you typed (the customer pays exactly this)
Before tax = total × 100 ÷ 107
VAT = total − before tax
Example typed 8,500 → before tax 7,943.93 · VAT 556.07 · customer pays 8,500.00
💡 VAT not ticked = no tax; total equals the before-tax amount. The amount in words (e.g. "five thousand eight hundred twenty baht and eighty satang") is written for you.

How the numbers are calculated: withholding tax

Withholding base = goods/services after discount (excludes a separate shipping line · excludes VAT)
if you typed VAT-inclusive prices, VAT is removed first (× 100 ÷ 107)
Amount withheld = withholding base × rate
Cash you receive = total − amount withheld

Example service 1,000 · shipping 100 · VAT 7% · customer withholds 3%
         base 1,000 → withheld 30 (not 33) · total 1,177 · you receive 1,147

The same formula applies when a customer withholds from you (receipt) and when you withhold from a vendor (expense) · the rate is always the one you choose; the system never guesses — common rates (confirm with your accountant):

Paying forCommonly used rate
Services · contract work · consulting · commissions3%
Rent5%
Advertising2%
Transport1%
💡 Paying an individual → the system prepares PND.3 · paying a company → PND.53 · just say whether the vendor is an individual or a company when you record the expense.

How the numbers are calculated: input VAT and PP.30

Input VAT on a bill is "claimable" when all 4 hold
✓ your business is VAT registered (ticked in Company details)
✓ the bill is a full tax invoice (abbreviated tax invoices and cash bills do not qualify)
✓ the bill has a number
✓ the bill shows VAT

All four = that bill’s input VAT offsets your output VAT · otherwise = still an expense, but input VAT is 0
Before sending the monthly pack, every bill whose input VAT is claimed needs its receipt photo attached
PP.30 for the month (the estimate on Today’s overview)
Output VAT = VAT on the tax invoices you issued in the month (credit notes subtract, debit notes add)
Input VAT = claimable input VAT on the month’s expense bills
Payable = output VAT − input VAT (negative = more input than output; refund or carry forward)
💡 This figure appears only for VAT-registered businesses. It is an estimate to help you plan; the actual filing should be checked by your accountant from the monthly pack.

How the numbers are calculated: receivables and document numbers

Due date = invoice date + the days in the payment terms (e.g. "Net 30")
Outstanding = invoices + debit notes − receipts − credit notes (for the same job)
Overdue = still outstanding and today is past the due date
Cancelled documents are excluded · delivery notes are not revenue
Document numbers
Format INV-2569-0007 = prefix + Buddhist-era year + 4-digit running number
Numbers run separately per document type and per year · once issued they never change and are never reused · cancelled documents keep their number in the register
Change the prefix under Company details (affects new documents only)
